What is a collection in HAL ?

A collection is made up of an institutional or theme based sub-group of material , which gives more visibility to the publishing activity of laboratories.

Benefits :

  • All publications from a given laboratory, research team, conference, research project etc. are gathered together ;
  • These publications are easily promoted ;
  • Figures are easily available relating to the type and number of published or deposited research in a given period ;
  • Easier data managing when writing bibliographies as part of a report etc.

Creating a collection

The following items need to be specified :

  • Collection identifier : it has to be unique, in capital letters and preferably short. Note that it cannot be modified ;
  • Name of the collection ;
  • Category : type of collection (laboratory, department, conference, research project etc.) ;
  • Collection criteria : for example concerning a laboratory collection, mention whether all the publications from this laboratory must appear in this collection. Examples of criteria are dates, availability or non availability of full text etc. ;
  • Collection manager(s) :name the manager of the collection ;
  • Operating mode : automatic stamping* will allow automatic additions to the collection, whereas manual stamping will require a person's intervention to add publications to the collection ;
  • Sub-collection of : specify whether the collection is a sub-part of another collection.

* stamping a publication = certifying a publication belongs to the collection.

Managing a collection

The collection manager is chosen when creating a collection. A member of a laboratory can be chosen as manager.

The collection manager can :

  • Stamp or unstamp the deposit in his collection, even in automatic stamping mode ;
  • Customise the collection website : home page settings, menus and graphic options ;
  • Access the deposit and viewing statistics of the collection ;
  • Manage several collections ;
  • Submit the creation of sub-collections to the administrator of the portal.

Managing a collection requires to sign in to a HAL account. After logging in , go to tab « Privileges / Collections / collection managing».
